What is DigiDocFlow?
DigiDocFlow offers you the possibility to create a digital archive by scanning
directly from your multifunctional device. In just three simple steps, your document
is scanned and intelligently stored within your network in the desired file format.
DigiDocFlow stores the document on the correct location based on the information
entered by the user on the MFD. DigiDocFlow can also use this information to create
(sub)folders.
Afterwards, all documents are always easy retrievable by the user from the correct
location. With DigiDocFlow it's possible to scan directly to anywhere: a home
directory, email address, Windows file structure or business application.
Get to work right away
DigiDocFlow has been developed from an end-user’s perspective. All documents
can be digitalized without the need of installing software on local computers.
DigiDocFlow is middleware and runs on a non-dedicated server. This means that
limited training is required, because users work directly with the multifunctional
they are already familiar with.
No matter what kind of workflow you use, DigiDocFlow integrates with it and makes
digital archiving easier.
Scenarios of how to use DigiDocFlow
- 1. Scan directly into your Windows file structureAny user who wants to scan a document can put it on the multifunctional. He enters
what he would like DigiDocFlow to do by choosing his desired workflow on the display
of the MFD. The next step is to specify where the document has to be stored in
the Windows file structure. DigiDocFlow can automatically create new folders and
subfolders based on information in the document. Additionally it's possible to
add extra data to the scan. This data can be used to fill the document properties
or to create a filename. After pressing the green startbutton, the document is
then scanned and stored in the correct location in the Windows file structure.
Documents can be stored as text searchable Pdf, Tiff, Jpeg, Word, Excel or OpenOffice
files.
- 2. Scan to anywhereDigiDocFlow is able to adapt to any workflow. This means that it's easy to scan
directly into your Windows file structure, but also to any business application.
When business software, like an ERP, CRM, DMS, financial or legal application
is used, all company information is stored in this application. In this case DigiDocFlow
can integrate with your workflow and store scanned documents directly in the correct
location in your business application based on the information entered by users
on the MFD. DigiDocFlow uses this information to store the document on the right
location. It's possible to create connections between almost every business application
or database and DigiDocFlow. For more information on connectors, please take read

- 3. Safe scanning with DigiDocFlow and EquitracEquitrac and DigiDocFlow form a powerful combination which makes scanning personal.
An employee logs on to the device by simply entering their pin code or swiping
their badge. The Lanier multifunctional authenticates the employee and the user
information is sent to DigiDocFlow. This way it's possible for the user to scan
directly into their personal scan destinations, such as home directory and email,
without entering extra information. It's also possible to define user groups.
When user groups are created in addition to scanning to a personal home directory
or personal email, people can see the scan templates they have access to through
Active Directory. With this functionality it is easy to define which user is allowed
to use specified predefined workflows.
